Guide to Scheduling Tools
Schedule (Add or Edit) Sections for this Contract
To see the section schedule:
- From the District Access Zone, login using the Administrative Login.
- Choose the desired contract from the list of Current Contracts, located at the bottom of the page.
- Choose Schedule (Add or Edit) Sections for this Contract under the heading Schedule Management: Contract-Specific Sections.
- The Schedule Management menu will appear with a 20-week view of upcoming proposed and approved courses. Proposed courses are Beacon-facilitated courses that are not available for enrollment until activated by Beacon staff. The activation process is normally less than 48 hours. Proposed courses will appear pink on the schedule. Approved courses will appear yellow. All locally-facilitated courses are automatically activated.
- To change the time frame of the visible schedule, type in the Begin Date and Number of Weeks to be viewed in the field above the schedule; then choose Display.
- Next to each section on the schedule will appear the number of participants enrolled in the section. To view more information about each section, choose the name of the course.
Note: When each course section is created, it is assigned a unique identifier, the section ID number. For all tracking purposes use the section ID number.
A contract manager is able to change the viewable information by using the links at the bottom of the page, View by Section and View by Facilitator.
View by Section
- Choose the link, View by Section; then use the pull-down menu to choose the desired course name.
- Type in the Begin Date and Number of Weeks to be viewed; then choose Display.
View by Facilitator
- Choose the link, View by Facilitator; then use the pull-down menu to choose the desired facilitator's name.
- Type in the Begin Date and Number of Weeks to be viewed; then choose Display.
To propose a Beacon-facilitated section or to add a locally-facilitated section:
- Choose the Add button from the menu bar at the top of the page.
- Once the Propose a New Section pop-up menu appears, use the pull-down menu to choose the desired course.
- Type in the Maximum number of participants to be enrolled in the course.
- Type in the Begin Date and use the calculate tool to the right of the End Date to determine the length of the course; then Post New Section.
To edit a section:
- Choose the Edit button from the menu bar at the top of the page.
- Once the Edit an Existing Section pop-up menu appears, scroll to choose the desired course; click on the name of the desired section.
- Make any necessary changes to the Facilitator, Maximum number of participants, the Begin Date, or the End Date; then click Update Section.
To delete a section:
- Choose the Delete button from the menu bar at the top of the page.
- Once the Delete an Existing Section pop-up menu appears, scroll to choose the desired course section.
- Check the section number to ensure that you are deleting the desired course; then click on the name of the course to delete the section.
To restore a section:
- Choose the Restore button from the menu bar at the top of the page.
- Once the Restore an Existing Section pop-up menu appears, scroll to choose the desired course section.
- Check the section number to ensure that you are restoring the desired course; then click on the name of the course to restore the section.
